01. Introduction

This Privacy Policy explains how Hailo Go ("we", "us") collects, uses, and protects information when churches and ministry teams use our platform. We aim to handle information with the same care expected of a ministry operations system.

02. Information we collect

We collect information that you or your organization provides directly, information generated as you use the Service, and a limited set of technical information needed to operate Hailo Go reliably and securely.

03. Account information

When you create an account, we collect your name, email address, password (stored as a one-way hash), and optional profile details such as role and avatar.

04. Organization and team data

When you join or create an organization, we store organization details, team membership, roles and permissions, and the relationships between members and ministry spaces.

05. Operational activity data

Hailo Go records the operational activity needed to coordinate ministry — threads, huddles, tasks, incident reports, signals, and audit history. This data is owned by your organization.

06. Safeguarding-related data

Safeguarding workflows can contain sensitive information. Access is restricted to authorised members of your organization and is audited. We do not use safeguarding content for product analytics, advertising, or model training.

07. How we use information

We use information to provide and maintain the Service, authenticate users, deliver notifications, secure the platform, and improve reliability. We do not sell personal information.

08. How we protect information

We use industry-standard safeguards including encryption in transit, encryption at rest, role-based access control, and audit logging. No system is perfectly secure, but we work continuously to reduce risk.

09. Data sharing

We share information with trusted infrastructure providers strictly to operate the Service (hosting, database, email delivery). We may disclose information where required by law or to protect the safety of users.

10. Data retention

We retain operational data for as long as your organization uses Hailo Go, and for a limited period afterwards to support backups, legal obligations, and account recovery. You can request deletion in line with applicable law.

11. User rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal information.

You can delete your account at any time directly from within the Hailo Go app — open Profile and choose Delete account. Deleting your account removes your personal profile information and revokes your access; operational records owned by your organization may be retained where the organization or applicable law requires it.

You can also exercise your rights by contacting your organization administrator or by emailing contact@hailo.global.

12. Cookies and analytics

We use essential cookies to keep you signed in and to remember basic preferences. We may use privacy-respecting analytics to understand how the Service is used; we do not use third-party advertising trackers.

13. Children and safeguarding

Hailo Go is designed for use by ministry team members, not by children directly. Where information about children is processed as part of a safeguarding workflow, organizations must handle that data in line with their safeguarding policies and applicable law.
